Executive Personal Assistant

Sobre o nosso cliente Our client is a multicultural entrepreneur family that has founded and is developing a group of successful companies in the last years. They are now looking for an Executive Personal Assistant to help manage their daily life (corporate and personal).
Descrição The selected candidate will be responsible for: Personal and Family Support: Diary management of personal agenda and help optimize their time management.Personal travel arrangements.Personal email and WhatsApp communications.Managing the main and secondary residences in Portugal.Stock taking, inventory, and online and offline shopping.Party, events, and holidays management.Family activities planning (after school activities, pickups, drop-offs, hobbies, engagements).Take care of personal finances (payments, tracking).Managing the house staff (on payroll, liaising with HR/accounting provider) and service providers (garden, pool, etc).Taking care of the physical and digital archive and ensuring all paperwork and administrative tasks are completed.Insurances (sourcing, tracking, annual renewals).Executive and Corporate Support: Managing agendas, planning meetings.Professional travel arrangements.Events and inherent logistics.Professional email and WhatsApp communications.Prepare and organize reports, meeting notes, and presentations.Conduct research and gather information as needed.Work closely with other departments, executives, and other executive assistants to optimize the impact of the founders' involvement in the business.Support in public speaking engagements, interviews, social media events, and seminars.Perfil ideal Ideal Profile: Bachelor's degree in Business Administration, Executive Assistantship, or a relevant field.Minimum seven years of proven experience in similar roles, such as assistant to CEOs or C-Suite executives, personal assistant, family assistant, family office assistant.Excellent and impeccable oral and written skills in English.Good oral and written skills in Portuguese.Knowledge of Korean or French will be considered highly valuable.Outstanding organizational skills.Detail and solutions-oriented.Solid knowledge of MS Office, including Excel.Ability to work in a very autonomous way, flexible and adaptable.Proactive and does not take a 'no' for an answer.Multicultural background and/or interest in different cultures.Excellent listening skills.Driving license.Vantagens The possibility to work with a successful and inspirational business family.
Hybrid position: three days on-site (minimum required) and two at home possible (but not mandatory).
