Customer Service Specialist Job Description

This dynamic role involves overseeing end-to-end customer service processes for clients within the Iberian market, requiring strong knowledge of Spanish. You will ensure timely delivery of customer needs in compliance with company guidelines and policies.

Key Responsibilities:
  • Collaborate daily with Sales, SCC Finance departments, Logistics, Product Managers, and Production to find optimal solutions and meet customers' needs.
  • Create customer orders, contracts, offers, and schedules in Vesuvius' ERP systems and coordinate documentation flow.
  • Provide post-sales support via handling customer communication regarding order status and delivery dates, as well as responsibility for some invoicing and payment elements.
  • Coordinate customized orders and special shipping requests from customers and Sales.
  • Maintain daily cooperation with external suppliers to ensure material and product availability for Vesuvius customers.
  • Serve as the first point of reference for customer complaints and enquiries, leveraging knowledge of basic VAT Determination Rules and Incoterms 2020.
  • Identify possible improvements in Order Management and Customer Service processes.
Requirements:
  • Minimum 1 year of experience in a similar position (Order Management/Customer Service).
  • Bachelor's degree or equivalent.
  • Willingness to travel to offices.
  • Strong knowledge of English (minimum B2) and Spanish (minimum B2).
  • Polish fluent speaker - preferred.
  • Good understanding of the 'End to End' order management process and commercial elements - preferred.
  • SAP system knowledge - preferred.
  • Excel knowledge - intermediate.
  • Strong communication and interpersonal skills, along with a solid customer service mindset.
  • Open-mindedness and desire to learn.
  • Pro-active approach, problem-solving, and decision-making skills under pressure.
  • Able to work well in a team and maintain a positive attitude.
