Role Summary

We are seeking a highly skilled and organized Administrative Support Specialist to provide exceptional support to our CEO. This is a unique opportunity to work closely with senior leadership and contribute to the success of our organization.

Key Responsibilities
  • Schedule and coordinate meetings, appointments, and events to ensure efficient use of the CEO's time.
  • Manage and prioritize tasks, ensuring timely completion and accuracy.
  • Respond to phone calls and emails, providing seamless communication and support.
  • Draft, review, and format correspondence, reports, and other documents to maintain a professional image.
  • Plan and book business travel, including flights, accommodations, and local transportation.
  • Prepare detailed travel itineraries and maintain organized files.
  • Assist with personal tasks as needed and maintain confidentiality in all matters.
  • Organize and coordinate internal and external events to promote a positive company image.
  • Prepare meeting rooms and ensure all necessary materials are available.
  • Assist in preparing expense reports and perform other tasks as needed to support executives and the office.
Requirements
  • Bachelor's degree in Business Administration, Management, Communications, or a related field.
  • 1-3 years of experience in an administrative or assistant role, preferably supporting senior executives.
  • Fluency in English and Portuguese.
  • Exceptional organizational skills with the ability to manage multiple tasks, prioritize effectively, and maintain accuracy and attention to detail.
  • Excellent written and verbal communication skills, with the ability to interact professionally with executives, clients, and colleagues.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
