As part of our People team, our Office Coordinators play a key role in making our offices fully-functioning, welcoming & inspiring, and space for everyone.

About the Role

We’re looking for a welcoming and proactive Office Coordinator to join our Lisbon team We’ve just moved into an impressive new space in Alvalade, and you’ll be the go-to person for all things office-related, ensuring smooth day-to-day operations and creating a vibrant workplace experience for our local and visiting Bobbers. Reporting to our People Partner, you’ll also collaborate closely with our Europe People team based across our UK, Netherlands and Germany sites. This is a part time role.

  • Exceptional organizational and multitasking skills.

  • A proactive mindset with the ability to adapt quickly to changing situations.

  • Confidence using tools like Slack, Google Workspace, and Zoom—or a willingness to learn.

  • Strong communication skills and a knack for putting people at ease.

  • Fluency in both Portuguese and English.

  • Experience in event coordination or office management is a plus.

What You’ll Do

Your day-to-day will be diverse and dynamic. Here’s a glimpse of what you’ll get up to:

Office & Operations Support

  • Serve as the main point of contact for all office-related queries

  • Manage supplies: stock kitchen essentials, order and unpack deliveries, and maintain IT and swag inventory.

  • Resolve office issues and collaborate with our landlord where necessary

  • Handle vendor agreements, raising purchase orders, and invoicing - working closely with our Finance & Legal teams.

  • Assist with setting up equipment for new joiners and maintaining office tech resources.

  • Spot opportunities to improve office operations or enhance our team's experience – we value taking ownership of the space to keep things running smoothly, and fresh ideas if something needs attention.

Employee Experience & Event Coordination

  • Welcome new hires, ensuring they have everything they need from Day 1.

  • Plan, coordinate, and host team events, from happy hours to volunteering activities.

  • Support larger events like our annual summer and Christmas parties.

  • Be a friendly face for Bobbers visiting from our global offices.
