Posted- 05-Jun-2023- Service line- GWS Segment- Role type- Full-time- Areas of Interest- Building Management, Engineering/Maintenance, Facilities Management- Location(s)- Lisbon - Lisboa - Portugal- The objetive of "Site Manager / Facility Manager" is to ensure the development and execution of FM services in each of the buildings as defined in the contract for Portugal.

Leads the team providing the management and execution of services and activities. Ensures the delivery of quality services through excellence and cost optimisation to improve customer satisfaction.
KEY RESPONSABILITIES

LEGAL & Current normative compliance:

  • Knowledge and control of the contract (Service Level Agreements).
  • Communication and updating of the contract to the team.
  • Ensuring compliance with current legislation in contracted operations.

OPERATIONS:

  • Team management: supervision of functions and incidents arising from daytoday management.
  • Management, coordination and supervision of suppliers at service level.
- knowledge and ensure compliance with SLAs and KPIs of the contracts on the sites under his/her responsibility.

  • Collaboration and study to develop the company's strategy (client and CBRE).
  • Ensure regular communication with the team and with the client.
  • Knowledge and/or participation in the BCP (Business Continuity Plan).
  • Execution of efficiencies and strategic projects defined and applicable to Operations.

TEAM:

  • Definition of objectives and performance review.
  • Development plan according to the Competency Framework.
  • Coordination of team holidays.
  • Participation in recruitment and selection processes.
  • Ensuring that leaves, discharges and other incidences are communicated to HR.

SOURCING:

  • Coordination of suppliers in the communication of changes, improvements or proposals.
  • Ensure compliance with the contract with suppliers, both on their part and on the part of CBRE.
  • Use the optimal supplier according to the service and carry out the homologation process if necessary.

MAINTENANCE MANAGEMENT:

  • Registration and control of mandatory documentation according to current regulations (Low voltage certificates, TCs, Elevators, Legionella Books, TCs, Product Sheets, etc.).
  • Registration, monitoring and control of the contractual SLAs of the services rendered in the assigned buildings: maintenance, cleaning, cleaning, DDD, confidential destruction, etc. (CORRECTIONS, PREVENTIVE PLANS, LEGAL TECHNICAL, CONSUMPTION, INVENTORIES, PENALTIES, CONTRACTUAL AGREEMENTS).
  • Implementation of necessary procedures and collaboration with BBVA departments for ISO 14001 certification of buildings.
  • Cost Control of Services and Works quotas by Administration: Comparison of budgets, evaluation and proposal of technical solutions, management of guarantees, compliance with specifications.
  • Exploitation of information and management performance in a centralised manner for BBVA. Preparation of reports, scorecards, cost control for BBVA.
  • Monthly completion of the necessary SCORE CARD tables, sending them to the Country Contract Manager for the monthly report.
  • Coordination and planning of major preventive measures, to ensure the operability of the building.
  • Coordination according to BBVA procedures, with other departments (Central Claims Unit, Security Department, PRLL, Image and protocol, etc.).

TECHNICAL SUPPORT IN SITE:

  • Coordination and monitoring of works in the buildings. Including weekends.
  • Collaboration and support in transfers and modification of posts. Including weekends.
  • Coordination and monitoring of events in the building. Including weekends.
  • Attention of users in the building
  • Ensure compliance with established processes in the generation of POs, receivings, accruals.
  • Cost control (baseline control if applicable per contract).
  • Invoicing control and management.
  • Participation in financial processes (closures, reconcile, site budget, plan and forecast).
  • Tracking and control of savings required by contract.

QHSE:

  • Ensure that all employees in their charge are aware of the QHSE job evaluation, use the indicated PPE and follow the indicated procedures. Ensure that this assessment is updated when job characteristics change.
  • Ensure the safety and working conditions of subcontractors.
  • Control of compliance with CBRE's and client's QHSE protocols.
  • Support in the evacuation of the building (if applicable, according to client).
  • Ensure the correct implementation of the Quality and Environmental Management System, according to ISO 9001 and ISO 14001 standards.
