Facility Manager Coordinator

MAIN PURPOSE
The new working normality has introduced the hybrid working model.

A clear axis of this model is how the end user centricity is experienced in the offices and in the different working environments.

The FM Coordinator in Lisbon must lead the above experience in three areas for Portugal:

  • Local Real Estate management.
  • Local health and safety duties.
  • Local corporate security.

Real Estate Management function:
To provide management and coordination of facility services and processes that supports the core businesses of the organization. Ensure the most suitable working environment using the best occupational and office practices to improve efficiency.

As well, cost control and reporting are key to deliver a sustainable service along the time.

Health and safety duties:


To implement and coordinate the assurance of local and global HSE processes to grant a safe environment to all BAYER colleagues.


Corporate Security function:
To manage and to ensure security of people and property from any kind of damages.

To manage and assist overall security and event security topics across the country and not just circumscribed to Bayer site.

To manage and offer consultancy on risk management and assist crisis situations for special events. To guarantee and coordinate all tasks and responsibilities regarding Risk and Crisis Management. 24/7 availability in regards of this function.

KEY WORKING RELATIONS (EXTERNAL / INTERNAL):

Internal:
Local Management Team, Business continuity team, Legal department, Internal Audit, Heads of departments, HSE, CRE team, Security Team.

External:
Facility management companies, Security companies, Landlord, External consultants, Local authorities.

SCOPE:

The accountability of the position is at local level (Portugal). However Portugal is integrated, together with Spain, under the Iberia region. Consequently, the FM Coordinator will be reporting and following guidelines from the Iberia CRE function.

KEY TASKS AND RESPONSABILITIES:

The following list tasks are an example of the main tasks that the FM Coordinator will be accountable for:

  • Reporting duties in the three fields: Real Estate, HSE and Security representation.
  • Promotion of the good practices in the hybrid working environment, putting a clear focus in the space management, in the digital tools and in the behaviors of the hybrid working model.
  • Cost control, invoicing approvals and Department Purchase Orders management.
  • Stakeholder management.
  • Vendors management.
  • Landlord management.
  • Activities involving management and maintenance and cleaning of buildings and furniture.
  • Assure proper office supply and equipment.
  • Space management.
  • Management of media, meeting rooms and allocation plans (update, availability and operations).
  • Catering Services coordination.
  • Postal and Courier Services coordination.
  • Reception services coordination.
  • Ensuring HSE protocols are explained and implemented.
  • Ensuring the office and the activities carried insight are according to HSE BAYER standards.
  • Ensuring the security in the office is managed according to the security BAYER standards.
  • To act as the first point of contact in case of security crisis or security incidents. Coordinating and informing to the appropriate departments and teams depending on the type of incident until the issue is solved.

QUALIFICATIONS AND COMPETENCIES (EDUCATIONS SKILLS, EXPERIENCE)

  • Skills needed to accomplish the job mandate successfully:_
Strong communication skills and assertiveness to act.

Willingness to explore new ways of managing spaces connected to people. Appealing for new ways of working and digital tools that enable the efficiency.

Ability in vendors management.

Budget control and accuracy in economic follow up.

Stakeholders management.

  • Experience and educational skills:_
Minimum of 5 years of contrasted experience in stakeholder management and vendors management.

At least 3 years experiencing office management with the standard duties (FM, HSE and Security) absorbed.

Degree in Architecture, Engineering, Finance or similar.

Fluent in Portuguese and English. Spanish will be positively evaluated as it will help in the integration inside the Iberian team.
