Interrelations


The Ships Agency Manager Madeira reports to the Ships Agency Portugal and works closely together with other Ships Agency Managers, Sales Managers and Port Services Operations/QHSSE Directors and Managers.

Formal authorities

The Ships Agency Manager has the authority to act and make decisions within this functional description and the CoA.

Main responsibilities

  • Controlling and monitoring of all Port Services activities, including compliance, within assigned territory.
  • Ensuring Ships Agency performance and service quality is according to Standard Operating Procedures (SOP).
  • Identify new means of achieving cost savings, including vendor discounts on behalf of the principal.
  • Selecting, appointing and evaluating vendors and suppliers, ensuring compliance with
    WPS procurement governance.
  • Actively identify new business and sales opportunities in the territory/country and work with Port Services sales to promote local ports towards customers.
  • Participate in regular customer visits and business reviews.
  • Report on port and traffic developments within assigned territory.
  • Ensure profitable port operations by increasing revenue, whilst driving efficiencies to control costs.
  • Ensure correct amount of prefunding is received, or the correct level of authority has approved any deviation, prior to performing the port call, in line with the Chart of Authority. Same to be ensured when additional funding required prior vessel's sailing.
  • Ensure procedures relevant to Disbursement Accounts production are implemented and optimised.
  • Responsible for supporting and ultimately driving the collection of spot port call receivables
  • Ensure efficient and competent resources are appointed at port location(s).
  • Ensure onboarding and regular training is conducted for all employees.
  • Overall Port Services QHSSE compliance within assigned Territory and use of Take 5 as appropriate.
  • Monitor and adhere to code of conduct and compliance.
  • Respond timely and effectively to customer complaints and IP's and take the necessary actions for prevention.

ensuring all relevant risk management processes are implemented and applied to demonstrate risk reduction. ensuring employees, contractors and visitors are trained and competent to perform their tasks safely & effectively ensuring the appropriate personal protective equipment (PPE) are available, used, inspected and maintained ensuring all accidents, incidents, injuries, near misses, safety risks and issues of non-compliance with health and safety procedures are reported, investigated and managed to prevent recurrence managing and developing safety proactively; engage yourself and lead by example
- this includes physical as well as psychosocial health and safety

Qualifications:

  • Bachelor degree within Maritime or Business management field, or alternatively work experiences compensating for formal education.
  • Extensive experience in Ships Agency service operations min. 5 yrs.
  • Excellent communication skills and a very good command of the English language (oral and written).
  • Strong customer relationship skills.
  • Strong financial awareness & control.
  • Systematic & accurate nature.
  • Team Building skills.
  • Computer literate.
