CONTEXT

The TCC Site Manager leads all planning and management activities related to Richemont's Offices in Lisbon, Portugal (Tech Competence Center). The role is responsible for continually elevating the luxury workplace experience by establishing and evolving standards, processes, and services that drive the employee experience, in alignment with Group Real Estate and Group Security directives. This role works in partnership with the Director of TCC Offices to strategize, implement, and oversee operational initiatives and objectives. This includes negotiating, managing and overseeing all the agreements and procedures with internal/external suppliers related to employees' services and safety, such as: cleanings, concierge, F&B, maintenance and security.

Strategy and Planning Responsibilities

Collaborate with key stakeholders to identify, plan, and prioritize short-term and long-term workplace services and solutions, creating and managing an achievable roadmap based on headcount growth and business needs Partner with Finance to establish and oversee adherence to budgets related to all office services projects and initiatives Manage and select digital tools to facilitate workplace services and space planning analytics Ensure a smooth execution of all Building Offices Services (BOS), Physical Security (PS) and Health & Safety (H&S) objectives set up for TCC Office

HOW WILL YOU MAKE AN IMPACT?

Building Offices Services

Lead and oversee the management of all workplace services including reception, mailroom, and pantry services across assigned locations, driving efficiency and cost control Partner with key stakeholders to ensure the company provides a safe, clean, pleasant, well organized workplace environment for all employees Continually evaluate workplace services and programs and evolve, as necessary, in alignment with Richemont objectives, expectations, and budgets Maintain open/ongoing communication with Function and Maison leaders and senior leadership to ensure workplace needs are effectively prioritized and addressed Lead the selection and management of vendors and service providers; negotiate contracts, review performance, and manage relationships to ensure needs are met Oversee activities related to shipping and receiving, postal and courier services, and record archives Implement and oversee the management of a digitized employee service request system, ensuring rapid and reliable response to all employee requests Oversee the effective planning, procurement, management, and distribution of all office and pantry supplies, in alignment with business and employee needs and within budget Plan and manage workplace hospitality needs to support positive, luxury visitor and employee experiences, including Reception services, conference room environments and amenities, catering, common areas, and accessibility/accommodations as needed Collaborate with Internal Communications to develop and execute a workplace communications plan that drives awareness and compliance with office services initiatives, policies, and practices Partner with Finance and key stakeholders to prepare and manage office services and project-related budgets Ensure proper management of the invoicing and PO process for all office services vendors and service providers Partner with key stakeholders to lead and oversee the planning and execution of large and small-scale corporate/employee events, including townhall meetings, wellness events, annual celebrations, etc. Ensure that all specifications and security measures are carried out within the building and installation works. Ensure effective collaboration with external security suppliers. Perform RFP when needed and assess the quality of the suppliers through quarterly KPI reviews

Health & Safety

Maintain awareness of and compliance with all relevant local, legislation/regulation in terms of H&S Represent the company to official authorities, external specialists and third parties Participate in Group HS meetings and other events Ensure the accurate risk evaluation on HS significant aspects (risk analysis may be required in complex situations) Verify the implementation of Group Minimum Standards & Business Rules Develop, maintain and improve an Emergency Response Plan (fire, first aid and other emergencies) Manage internal and external Reporting & investigations related to injuries, incidents and near misses, perform root cause analysis

Physical Security

Manage staff trainings on Security matters Coordinate with relevant stakeholders to develop and maintain emergency response plans and procedures Manage access control systems, surveillance equipment and other security technologies to ensure proper functioning and effectiveness Collaborate with internal departments, such as human resources and IT, to ensure compliance with security protocols and standards Investigate security breaches, incidents and violations, document findings and implement corrective actions Maintain strong relationships with external partners, such as law enforcement agencies and security vendors, to enhance security capabilities

HOW WILL YOU EXPERIENCE SUCCESS WITH US?

Bachelor's degree in relevant topic preferred Portuguese H&S Certification required - for example - 'Técnico de segurança no trabalho' 7+ years of corporate office management, including 5+ years of large/multi campus experience, preferably in a luxury environment Service oriented, customer focused mindset Ability to efficiently manage and utilize resources Ability to collaborate effectively with diverse stakeholders Clear, concise, and professional written and verbal communication skills Strong negotiation and problem solving skills Ability to work effectively and with confidence at all levels of the organization Exceptional organization, time management, and follow-through skills Proficient use of technology tools; e.g., intranet platform, SharePoint, MS Office applications, etc. Familiarity with SAP, a plus Luxury sensibility Fluent English and Native Portuguese are a must, French and/or Spanish are a plus This role is based in Lisbon, Portugal and may travel, up to 25%, to the other company's offices in Europe and Switzerland
