IPOPI, with its headquarters in Belgium and an international team, is looking for a:EVENTS AND LOGISTICS ASSISTANT (Estoril, Portugal)ABOUT USIPOPI is a non-profit international association and the leading advocate for primary immunodeficiency (PID) patients worldwide working in collaboration with patients, doctors, politicians, regulators, pharmaceutical industry and other relevant stakeholders.IPOPI is the Association of national PID patient organisations dedicated to improving awareness, access to early diagnosis and optimal treatments for primary immunodeficiency patients worldwide through global collaboration.POSITION SUMMARYJoin a small and enthusiastic team in a growing and increasingly active international patient advocacy organisation. Take an active role in the logistical management of IPOPI’s in-person and online events as well as projects, supporting IPOPI’s Events and Logistics Manager and NMO programmes divisions. Position based in Estoril, Portugal. Position reports to the Events and Logistics Manager, under the supervision of the Executive Director.PRIMARY RESPONSIBILITIES· Provide logistical support towards IPOPI’s in-person (international scientific conferences held every two years, global patients meetings held every other year, regional meetings, others) · In-person meetings logistical support may include: provide logistical support towards speakers liaison, invitation letters, email correspondence, abstracts management, on-site support during meetings, preparation of site visits, travel and hotel accommodation arrangements, …· Provide logistical support towards online meetings: support the logistical and technical organisation of IPOPI’s range of online events to ensure the optimal and smooth running of the events· Project logistics support may include A/V logistics for onsite filming of video recordings, mini-documentaries, podcasts · Provide logistics support towards National Member Organisations programmes, including grant management support, management of databases· Occasional Content Management System support towards events website · Support logistical and technical organisation of IPOPI’s participation in external events (ie exhibition booth, materials distribution)· Database and CRM management· Other tasks as required KNOWLEDGE AND SKILL REQUIREMENTS · University/Higher education degree desirable · Must be fluent in English· Knowledge of other languages a definite advantage · Ability to work independently and in a small team environment· Ability to multitask and be resourceful· Ability to follow up different projects simultaneously. · Problem-solving skills are very valuable.
