About the Role
As Executive Assistant to the General Manager Portugal, you will play a pivotal role in supporting both the leadership team and the wider organisation.
Far beyond traditional executive support, this role sits at the heart of the Portugal business, helping to ensure operational excellence, office effectiveness and seamless coordination across teams, partners and suppliers.
You will act as a trusted partner to the General Manager while leading key office management, administration, employee support and operational initiatives that contribute directly to the success of the business.
What You’ll Be Doing
- Act as the primary support partner to the General Manager.
- Coordinate complex calendars, meetings, travel arrangements and expenses.
- Ensure smooth day-to-day operations and efficient time management for senior leadership.
- Support key business activities and leadership priorities.
- Oversee the day-to-day management of the Portugal office environment.
- Coordinate suppliers, facilities, office services and workplace improvements.
- Ensure an engaging and productive workplace experience for employees and visitors.
- Manage office resources, equipment and administrative processes.
- Coordinate the corporate vehicle fleet, including contracts, maintenance, compliance and administration.
- Manage key operational services and vendor relationships.
- Support budget tracking and cost optimisation initiatives.
- Collaborate with Finance and Legal teams to ensure smooth operations and compliance.
- Support employee-related administration and benefits processes.
- Coordinate activities related to health, life and workplace insurance.
- Assist with onboarding, offboarding and employee administration processes.
- Help foster a positive employee experience across the organisation.
- Lead the planning and coordination of internal meetings, team events and engagement initiatives.
- Support business gatherings, leadership events and team-building activities.
- Create exceptional experiences that strengthen collaboration and culture.
- Support commercial and cross-functional projects across the business.
- Identify opportunities to improve processes and increase operational efficiency.
- Contribute to initiatives that support business growth and organisational effectiveness.
What You Need To Be Successful
- Previous experience in Executive Assistant, Office Management or Administrative Support roles
- Outstanding organisational and prioritisation skills
- Strong communication skills in both Portuguese and Spanish
- Excellent stakeholder management and relationship-building capabilities
- Ability to manage multiple workstreams simultaneously
- Confidence using Microsoft Office and business systems
- Problem-solving mindset with a proactive approach
- Strong customer service orientation and attention to detail
- Experience supporting senior leaders and handling confidential information
