MANAGEMENT SUPPORT OFFICER (JOB NUMBER: 2211LCF13188)

**About the job**
- The Management Support Officer will assist in the contribution of the results of the Management Support Team by taking the initiative in all required daily tasks, anticipating them in order to have them completed before deadlines
- The Management Support Officer will be focused on facilitating cooperation and interactions whilst acknowledging the benefit of differing viewpoints and ways of working, as well as on identifying and correcting issues or errors, escalating in case of any exceptional or irregular situation, raising alerts when needed with proper escalation process

**Your Main Activities Are**
- Deliver a harmonized on-boarding and off-boarding process for external staff across different scopes
- Contribute to reduce the security and compliance risk identifying and reporting risk situations on the processes
- Contribute to data quality control and follow up (requesting corrections in case of anomalies)
- Process direct expenses and manage external staff’s invoicing, liaising with suppliers, business and other internal departments
- Perform the payment follow-up for FAP (AE & DE) o Produce KPI & dashboards (daily, weekly or monthly)
- Share accruals for external staff to Finance on a monthly basis o Centralize all data to perform more accurate Accruals of External staff (AE)
- Prepare weekly, fortnightly or monthly status reports, ensuring consistency in data
- Centralize all data to perform accurate reporting (HC Analysis, Collecte des Effectifs & Forfaits)
- Share reporting at entity level and for a variety of stakeholders and internal departments
- Support with the development, implementation and update of procedures, process manuals and operational workflows
- Assist with the training of staff and provide back-up when necessary
- Keep up-to-date with new developments and changes in processes
- Deal with operational queries when necessary
- Attend internal meetings and trainings relevant to the role and participate in ad-hoc projects development

**Profile and Skills to Success**
- Bachelor’s Degree in Management, Accounting or similar fields
- At least one year experience in a similar position (preferably)
- Fluency in English, with French being a plus
- Advanced Microsoft Office skills (Excel, PowerPoint and Access as requirement)
- Strong organizational skills, proactivity and ability to multitask
- Ability to adapt to changing priorities in a fast paced and dynamic environment and to cope with pressure and short deadlines
- Strong team spirit, active listening and clear communication
