PRIMARY DUTIES AND RESPONSIBILITIES:
The holder of this position may perform the following tasks:

- Monitor, tracks, edits and maintains jobs (Exports /Imports) in ongoing shipments in the Transport Management System.
- Continuously checks the notes in Transport Management System and handles pre-advise shipments
- Keep clients fully updated as to the status of their shipments, especially in regards to any delays, monitors shipments during the transport and reacts flexibly to any deviation from the plan
- Orders drivers (pickup / delivery of shipments at the customer, delivery / pickup of shipments at the freight-company)
- Have full knowledge of how to use the internal computer systems including: Transport Management System, Bio-STAR
- performs a “Routing Check”, specifically in regard to the selection and combination of different transport models (airplane, car, train, Aerolink)
- checks collected shipments in the office and prepares them for transport
- books and pre-advise shipments
- checks the planned departure or arrival times of flights (“Post Flight Check”)
- works securely with all pertinent regulations (ADR / DGR / IATA) as well as the relevant laws and ordinances
- uses and maintains the available technical tools (Transport Management System, OpStar, Flight Monitor)
- manages the storeroom (packaging, supplies, cooling-media, etc)
- communicates with national and international World Courier stations / Aerolink / agents
- builds and maintains relationships to contractors / transporters (airlines, handling agents, the Rail, customs, government agencies, veterinarians, suppliers, etc).
- makes sure that all transport process is complete with all applicable documentation in Optiview
- manages the storeroom (packaging, supplies, cooling-media, etc)
- controls the gel packs stock in the fridge and freezer

Cold Chain Management Specific Tasks
- Determine which shipping system should be used for any given cold chain shipment.
- Enter clear pick up and special delivery instructions advising both origination and destination office on how the cold chain shipment should be managed.
- Communicate any temperature results to the client as soon as the delivery has taken place after reviewing the results to check any deviations.

The Operations / Customer Service Executive is subordinate to the Operations Supervisor/Manager or rather to the Branch Manager and Country Manager

MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:

- Proficiency with working tools such as PowerPoint, Excel and Word
- Fluency in English
- Strong communication skills - both verbal and written
- Ability to independently manage multiple tasks, work under pressure and meet deadlines
- Able to provide relevant ad-hoc information on request
- Excellent organizational and time management skills.
