We are looking for - Finance Trainee - USA (m/f/d)
Job Summary: We are seeking a highly organized, detail-oriented Finance Assistant Trainee to join our team. In this role, you will be responsible for providing financial and administrative support to our accounting and finance staff for the 4 companies of Pestana Hotel Group in USA (2 hotels in NYC, 1 in Miami and 1 Shared Services Company).
The ideal candidate would have a previous hands-on finance experience or formal finance education, strong knowledge of Microsoft Excel, and a passion for hospitality. The candidate should have excellent analytical, problem-solving and communication skills, with the ability to manage multiple tasks, prioritize deadlines and be able to effectively collaborate with other departments and stakeholders.
Responsibilities:
1. Classify and ensure the accuracy and completeness of invoices in a timely manner;
2. Ensure that all invoices for purchased services and products are posted in the correct month;
3. Work closely with vendors/suppliers and internal departments to resolve payment issues (along with the Treasury department in Lisbon, Portugal) or missing invoices (along with the Accounts Payable department in Lisbon, Portugal);
4. Reconcile and/or analyze vendor balances;
5. Provide all the necessary information to the Accounts Payable department to create new suppliers' master data and update data from current ones;
6. Review Accounts Payables' ageing and ensure all vendors are paid on time;
7. Place purchase orders as requested by all the Operations Departments of all hotel units;
8. Obtain quotes for new purchases;
9. Analyze purchasing documents on a monthly basis;
10. Post petty cash expenses.
Requirements:
1. Experience in accounting or finance (mandatory);
2. Proficiency in English (mandatory);
3. Proficiency in using Microsoft Excel tools (mandatory);
4. Prior experience with SAP (preferential);
5. Good understanding of basic accounting principles;
6. Self-motivated and detail oriented;
7. Ability to work in a multifunctional space;
8. Availability to travel to U.S.A;
9. Availability to work in U.S.A time (not mandatory);
10. Spanish speaking is a plus.
