We're Hiring: Executive Administrative Assistant (Part-Time, In-Office – Estoril) Location: Estoril | In-OfficePart-Time Are you a detail-oriented, highly organized professional who thrives in a fast-paced office environment? We're looking for an Executive Administrative Assistant to provide essential administrative and transaction support across our leadership team. This role ensures our Transaction Coordinator and Executive Director can focus on high-level strategy and operations, while you keep everything running smoothly behind the scenes. Atrium is a U.S.-founded luxury real estate company expanding rapidly in Portugal. We help international clients relocate or invest with premium service and a strong digital presence. What You'll Do: - Transaction Support (Primary): Prepare, organize, and format transaction documents (CPCVs, contracts, amendments, client forms) Collect required documentation from agents and clients Maintain detailed transaction checklists and update milestones in CRM Follow up on missing documents, signatures, IDs, or compliance items Assist with partnership agreement paperwork under the Transaction Coordinator's oversight - Administrative & Executive Support: Assist the Executive Director and CEO with administrative tasks, meeting prep, document formatting, and internal updates Maintain organized file structures and prepare templates, letters, and fillable documents Prepare printed packets, onboarding materials, and internal communications - Office Support: Maintain office supplies and organize conference rooms Welcome visitors and clients as needed Serve as a consistent in-office presence for the leadership team Run small on-site errands as required - Agent Support (Administrative Only): Assist agents with document organization, onboarding paperwork, and internal access setup Maintain updated template folders for agent use What We're Looking For: Highly organized, efficient, and detail-oriented Comfortable working with legal-style documents and handling sensitive information Background in legal, paralegal, compliance, or transaction-related work is a plus, but not required Fast learner, able to follow clear systems Professional, polished, calm, and dependable Strong written and spoken English proficiency (required) Strong written communication skills Comfortable using computers and office software (email, document editing, cloud file systems, CRM tools) How to Apply: Send your CV to Job Type: Part-time Language: English (Required)
