About the Role
The successful candidate will work closely with project team members, managers, and stakeholders to ensure the timely delivery of professional service projects. Key responsibilities include managing administrative tasks such as documentation, information distribution, report compilation, project communications, and driving organizational aspects of a project.
Key Responsibilities
- Support a team of project managers in the delivery of projects
- Plan, organize, and follow up on daily activities to meet project deadlines
- Organize and attend stakeholder meetings, taking meeting minutes and distributing to participants
- Document important project actions and decisions from meetings
- Coordinate project resources and prepare project materials with project managers
- Collect information for project updates and keep project notes up to date
- Perform billing tasks and participate in forecasting project milestone dates
- Create and follow up on Change and Procurement requests
- Proactively identify and escalate issues and risks that may impact project success
- Ensure internal systems are up to date with project status and enforce project time entries
Requirements
- Minimum 3 years of IT project coordination experience
- Experience supporting multiple project managers at a time
- Exceptional ability to keep track of tasks, deadlines, progress, and priorities across multiple projects
- Task and results driven, strong multitasking skills with a heightened sense of urgency
- Strong communication and organizational skills
- Excellent attention to detail and analytical skills
- Intermediate level knowledge of MS Office tools including Excel, Word, PowerPoint, and some form of project management tool
