We are seeking a highly organized and customer-focused professional to join our team as an Office Manager in our Portugal office for on-site work.

Main responsibilities include:

  • Maintaining accurate and organized records, documents, and reports.
  • Providing effective administrative assistance to executives, teams, and clients as required.
  • Coordinating special projects and initiatives as assigned, ensuring timely completion.
  • Ensuring a well-maintained and organized office space, overseeing facilities, supplies, and equipment.
  • Providing exceptional customer service to ensure customer satisfaction and build trust in our brand.

Responsibilities and Expectations

  • Providing high-quality administrative support to the team and clients.
  • Developing and implementing processes to improve efficiency and productivity.
  • Ensuring compliance with company policies and procedures.
  • Representing the company in a professional manner and building strong relationships with clients and stakeholders.
  • Identifying opportunities to improve office operations and making recommendations.

Requirements

  • Demonstrated experience as an Office Manager or in a similar role.
  • Proficiency in English at a B2+ level and Portuguese at a B2+ level.
  • Strong organizational and time management abilities.
  • Excellent communication and interpersonal skills.
  • Meticulous attention to detail and the ability to handle sensitive information.
  • A customer-centric approach with a dedication to providing exceptional service.
  • Proficient in computer skills, including client management software and databases.
  • The ability to work autonomously as well as collaboratively within a team.

Benefits

  • Work hours: 40 hours per week, Monday to Friday, from 9:00 am to 6:00 pm.
  • Primarily based in the office, but may be required to work on-site with clients as necessary.
