hium Energy is seeking a skilled Document Controller to develop, manage, and maintain document management systems for the company and all projects/programs. Key responsibilities include ensuring compliance with standards, providing progress reports, and coordinating document flow with suppliers and contractors.
Duties and Responsibilities
- Oversee the document control process, managing document flow and expediting review cycles with engineers and partners.
- Coordinate the effective distribution of incoming documents to relevant stakeholders.
- Track document turn-around times and follow up with individuals to ensure agreed turn-around times are maintained.
- Produce regular reports to track document status and participate in cross-location coordination meetings to improve efficiency.
- Generate reports for senior management highlighting review and approval status and any overdue documents.
- Communicate effectively with third parties and document control teams to ensure smooth document exchange, indexing, and distribution.
- Work closely with teams to organize critical documents like project plans, contracts, and drawings.
- Conduct regular document audits to ensure compliance with formal requirements and standards.
- Manage electronic and hard copy documents, facilitating storage and retrieval as needed.
- Ensure the latest revisions of documents are in circulation and previous revisions are archived.
