About the Role

We are seeking a highly organized and detail-oriented Administrative Professional to join our team in Lisbon. As an Administrative Professional, you will be responsible for managing various tasks, including:

Fines Management
  • Receiving and processing traffic fines related to the fleet and identifying responsible drivers
  • Sending notifications to drivers via registered letters or emails
  • Maintaining a fine control file

In addition to fines management, you will also be responsible for:

Tolls Monitoring
  • Monitoring and checking multiple toll platforms
  • Verifying correct motorcycle identification in toll systems
  • Preparing detailed files of transactions (dates, times, photos)
  • Processing payments and closing transactions on toll platforms
  • Managing fleet vehicles and identifiers on the Via Verde portal

You will also be involved in:

Motorcycle Sales Support
  • Handling necessary paperwork, including IRN forms, signatures, and notarizations
  • Overseeing the sales process until motorcycles are removed from the fleet

Furthermore, you will be responsible for:

Documentation and Decommissioning
  • Digitizing and organizing motorcycle documentation archives
  • Preparing notarized copies for clients
  • Managing annual insurance certificate renewals for the entire fleet
  • Submitting documentation to the decommissioning company and following up on the process
  • Scheduling and overseeing vehicle collection and documentation handling

You will also assist with:

Contract Creation and Updates
  • Opening new contracts based on information provided by the sales team
  • Collecting customer details (name, address, contacts, tax data, etc.)
  • Defining contract conditions, filling in and generating contracts for digital signature
  • Registering and archiving contracts in the internal system, ensuring distribution to relevant teams

Additionally, you will support the finance team with:

Financial Tasks
  • Supporting the control and payment of supplier invoices
  • Verifying and validating invoices related to fines, tolls, and fleet maintenance
  • Recording expenses and monitoring fleet operational costs
  • Assisting in payment reconciliation and cost analysis
  • Preparing periodic financial reports on expenses and pending payments

To be successful in this role, you will need:

Requirements
  • Previous experience in administrative and financial roles (preferably in mobility, transport, or fleet sectors)
  • Strong organizational skills and attention to detail
  • Proficiency in Excel and document management tools
  • Intermediate level of English (B2)
  • Clear and effective communication skills
  • Proactive and autonomous work approach
  • Basic knowledge of accounting and financial management
