Job Overview
We are seeking a highly motivated and enthusiastic Administrative Assistant to support our Operations team with various administrative and logistical tasks. This role is vital in ensuring the smooth running of our operations, and you will be collaborating closely with the Operations Team (including Accounting, Human Resources, and Legal). Your primary responsibilities will include helping the accounting team with processing invoices, tracking expenses, making payments, reconciling accounts, and other day-to-day bookkeeping duties.
- Supporting the Accounting Team: Process invoices, track expenses, make payments, reconcile accounts, and perform day-to-day bookkeeping duties.
- Assisting HR: Coordinate event logistics and engagement activities.
- Logistics and Travel Management: Prepare and manage shipments from start to finish, including booking accommodations and itineraries.
- Document Management: Keep important company documents safe and ensure compliance.
- Meeting Coordination: Schedule and organize in-person meetings, setting up rooms, equipment, and catering as needed.
- Office Maintenance: Ensure the office space is well-maintained, handle food and supply management, and address any upkeep needs.

We're looking for someone with a Bachelor's or Master's Degree in Administration or a related field, preferably with 2-4 years of experience as an Administrative Assistant, Office Manager, or Executive Assistant. You should have fluency in both Portuguese and English, with additional languages being a plus. As a confidential information handler, you must possess strong organizational skills, excellent communication, and attention to detail. A proactive and enthusiastic attitude, combined with hands-on approach and ability to work independently and collaboratively in a fast-paced environment, is essential for this role.
