**About the HR & Admin Officer position**:
We are looking for an HR & Admin Officer to join our team for a dual role dealing with all HR admin procedures and Office management.

This person will be responsible for managing all admin duties such as employee information through our HR Information System, onboarding & offboarding, perks & benefits, absences & expenses, and employment contracts, as well as managing our digital and physical office space, maintaining a proper work environment that prioritizes a good working culture, safety, and wellbeing.

The HR & Admin Officer will be part of the Talent team, reporting to the Head of Talent.

**What will you do?**:
You will be covering three main areas:

- Admin work (everything related to HR, such as employment contracts, employees information, insurance processes, vacation requests, etc., and also support to client projects when necessary)
- Office management (digital and physical office - from digital tools, shared drive, working guidelines, and digital routines, to our physical space management and IT material)
- Other HR-related support (besides handling the admin processes of HR, you will assist some of the key Talent activities, such as team meetings, recruitment, and special team events)

Here are some examples of the things you will do:

- Run employee onboarding and exiting processes, from A to Z;
- Maintain our HR Information System updated and look for possible improvements that maximize process automation;
- Address employees' questions and needs regarding various topics such as internal company guidelines, internal tools, IT material, etc.;
- Design and implement digital/physical office policies by establishing standards and procedures;
- Maintain the office condition and arrange necessary repairs;
- Point of contact for office management duties including maintenance and cleaning, mailing, supplies, equipment, bills, errands and shopping;
- Organize the office layout and order stationery and equipment, and provide general support to office visitors;
- Manage contract and price negotiations with office vendors, service providers, and office lease;
- Plan team meetings, in-house or off-site activities, like parties, celebrations, and conferences;
- Partner with Talent team for other talent processes when needed (for example, assisting in recruitment processes);
- Provide suggestions for improvements of existing processes and tools;
- Contribute to team culture environment and initiatives.

**Who you are**:
We are looking for someone with the following characteristics (if you don't tick all the boxes but still think you would be a great fit for the role, please apply):

- Previous experience working as an HR Specialist, HR Assistant, Office Manager, Front Office Manager, Administrative Assistant, or similar position;
- Knowledge of HR admin practices;
- Knowledge of labor law is extremely valued (but not mandatory);
- Knowledge of office administration responsibilities, systems, and procedures;
Excellent time management skills and ability to multi-task and prioritize work;
- Attention to detail and problem-solving skills;
- Strong organizational and planning skills in a fast-paced environment;
- Excellent written and verbal communication skills;
- A creative mind with an ability to suggest improvements;
- Proficient in English.
