PandaDoc is looking for an Accounts Payable Specialist to make an impact with our growing accounting team. In this role, you will be responsible for managing the PandaDoc's Accounts Payable process, from vendor management to processing of purchase order and invoices from vendors. In addition, you will be required to implement the controls necessary to build scalable processes. You will be working with and building a relationship with multiple stakeholders within PandaDoc, but also with external vendors or third parties.
**In this role, you will**:
- Perform all duties related to the processing of accounts payable, from purchase order to invoicing. Monitor the AP inbox and record the invoices in our ERP system (Netsuite)
- Assist with vendor management process including deep involvement in the procurement process
- Own the Company's payment processing systems and approval workflow for payments
- Implement controls to ensure low number of exceptions
- Monitor and update accrual accounts at month-end, reaching out to vendors as needed to estimate accruals
- Work with cross-functional departments in order to facilitate continuous process improvement and timely processing of invoices and payments
- Regular analysis of the vendors balances, aging and reconcile as required
- Analysis of KPI of the process, such as approval time frame, aging purchase orders, completeness of PO vs vendor bills, among others. Create a dashboard to monitor the process and build accountability within PandaDoc
- Supporting the audit in the accounts payables area
**About you**:
- 1+ years of relevant work experience performing and supporting Accounts payable; ideally for a high-velocity SaaS startup company
- Entrepreneurial spirit with a resourceful nature and team-first attitude
- Meticulous, detail-oriented, and accurate. The position requires the ability to work independently within a fast-paced, task-directed, deadline-oriented environment. Time management and organizational skills are essential
- Service-oriented approach
- Familiar with US GAAP and accrual accounting is a plus
- Familiarity with NetSuite preferred
