We're looking for a Facilities Partner to join our Lisbon hub In this role, you'll ensure that our work environments consistently meet company standards – keeping our offices functional, welcoming, efficient and purpose-built so employees can perform at their best. You'll provide hands-on support to our hubs and contribute to facilities operations across our nine global offices. This includes resolving facility issues promptly, maintaining a proactive approach to workspace upkeep, revamp and supporting compliance with health and safety requirements.

Please note that this role supports teams across multiple time zones and therefore requires some flexibility in working hours.

• Work independently to respond to and resolve facility queries and issues promptly and efficiently to minimize disruptions to business operations and employee work conditions
• Serve as the primary on-site contact for all facility-related requests in the Lisbon office while being the support to all Pipedrive offices in facility related matters
• Act as the main point of contact for all our global vendors and building management to ensure smooth operations of day-to-day services, working predominantly autonomously and escalating advanced issues to the Head of Workplace Strategy & Operations when necessary
• Support annual workplace and ISO-related inspections/audits to maintain safety, compliance, and adherence to local and global workplace standards
• Contribute to continuous work environment improvement initiatives and strategic facility projects
• Be empowered to manage office resources, space utilization, equipment and associated decision-making to optimize efficiency and maximise employee workplace experience
• Proactively identify improvements in comfort, ergonomics, aesthetics and underused spaces to make the office more enjoyable, functional and compliant
• Act as a deputy for the Head of Workplace Strategy and Operations in vendor negotiations and day-to-day matter

• Proven experience in facilities management, office operations or a related field/processes
• Strong organizational and problem-solving skills, with the ability to prioritize multiple requests simultaneously
• Excellent communication skills for vendor coordination and cross-functional collaboration
• Some level knowledge of office health, safety, and ISO standards is preferred
• Cooperative, proactive, hands-on approach and the ability to work independently in a dynamic global environment
• Fluency in English and Portuguese languages
