- Promote the property to potential guests and persuade them to book their stay, helping to increase sales and revenue, in line with hotel brand standards.


MAIN RESPONSIBILITIES

Department & Team Management

• Lead and manage the Events function, providing clear direction, structure, priorities and accountability to ensure the team consistently delivers exceptional client service and commercial results.

• Manage, coach and develop the Events team, setting clear objectives and performance expectations and providing regular feedback, guidance and support.

• Allocate events and workload across the Events team according to business levels, complexity, individual capability and operational requirements.

• Ensure appropriate staffing and coverage for the planning and operation of events, including VIP, high-value and complex programmes.

• Monitor individual and team performance against agreed KPIs, including event revenue, upselling, profitability, client satisfaction, productivity, forecast accuracy and operational standards.

• Conduct regular one-to-one meetings and performance reviews, identifying development needs and providing coaching and training where required.

• Create and maintain consistent standards, processes and ways of working across the Events team to ensure efficiency, accuracy and a consistent client experience.

• Ensure the team maintains accurate and timely event documentation, CRM records, forecasts and reporting.

• Take ownership of departmental organisation, ensuring priorities are clearly communicated and that the team is proactive in managing deadlines, changes and client requirements.

• Lead by example, creating a culture of accountability, teamwork, commercial awareness, attention to detail and service excellence.

• Support recruitment, onboarding and training of Events team members and identify opportunities to strengthen the department's capabilities.

• Manage performance issues appropriately and work with HR and senior management where additional support or formal action is required.

• Ensure effective communication and collaboration between Events, Sales, Revenue Management, Banqueting and all operational departments.


Event Planning & Management

• Manage confirmed groups and events from contract handover through detailed planning, execution, billing follow-up and post-event evaluation.

• Act as the primary point of contact for clients throughout the planning process, ensuring clear, timely and professional communication and consistently high service standards.

• Coordinate a diverse range of events, including conferences, meetings, incentives, corporate events, social functions, dinners, receptions and other group programmes.

• Ensure the Events team delivers detailed planning meetings with clients to understand event objectives, programme requirements, timings, room setups, audiovisual requirements, menus, accommodation needs, VIP arrangements and special requests.

• Ensure accurate and timely preparation of Banquet Event Orders (BEOs), function sheets, group resumes, rooming requirements and all other operational event documentation.

• Conduct and oversee client site inspections and planning visits, ensuring the event programme and guest experience are aligned with client expectations.

• Ensure contractual commitments, deadlines, cancellation conditions and operational requirements are accurately managed throughout the planning process.

• Maintain accurate and up-to-date information in the hotel's event management and CRM systems.


Commercial & Revenue Management

• Take ownership of the Events department's commercial performance and maximise total event revenue and profitability.

• Establish and monitor team targets for upselling, cross-selling, incremental revenue and profitability.

• Ensure the team proactively identifies opportunities across meeting and event space, food and beverage, beverage packages, audiovisual services, accommodation, upgrades, wellness, restaurants, bars and other hotel experiences.

• Review event revenue opportunities with the team and challenge the team to maximise the total value of each event.

• Monitor contracted minimum spends, deposits, payment schedules, additional revenue opportunities and final billing requirements in collaboration with Sales and Finance.

• Work closely with Sales and Revenue Management to optimise function-space utilisation, maximise total event value and identify opportunities for repeat and incremental business.

• Own the Events forecast and ensure accurate, timely and commercially meaningful information is maintained.

• Analyse departmental performance and provide recommendations to senior management
