Your role at Baxter:

We currently have a great opportunity for an Executive Assistant at our Baxter location in Portugal. You will be responsible for providing administrative support to the Country Lead, prepare and submit marketing activity reports to Infarmed; support office management as well as supporting in-country senior leadership in cross departmental activities.

What are your responsibilities?

Prepare and submit mandatory information to Infarmed under the Transparency act Support in planning and management of events incl. pre-program planning and process management Liaise with congress organizations and/or work with the relevant Baxter events teams, event agencies, suppliers, event locations, hotels; manage attendees Coordinate cross departmental activities, including team events, ad-hoc projects, onboardings, etc. Supplier/Vendor Management and handling of purchase orders Back-up on the initiation of grants, coordination of approvals and follow-up on actions including communication, invoices and payments (applying legal & compliance regulations), budgeting and cost tracking Update intranet content and office displays Support the design, translation and sharing of cross-functional internal communications Support employees with admin issues where applicable Handle confidential information with integrity and act at all time in compliance to internal polices and applicable standards and regulations

We are presently seeking people who have:

High school diploma or equivalent required. College degree preferred. Minimum 2-5 years of experience Excellent administrative, organizational, and problem-solving skills Solid knowledge of Windows and Microsoft Office applications Ability to prioritize workflow and work efficiently with minimal supervision Ability to work in a fast-paced international environment. Prior experience in the healthcare sector preferred Excellent communication skills in order to effectively communicate with all levels of professionals, both internal and external Proactive, results driven and self-motivated Fluent English is a must both verbally and in writing
