We are looking for an internship for
Executive Assistant to assist the Executive Leaders with daily administrative duties and complete a broad variety of tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas, coordinating events, and compiling documents for meetings.

As an
Executive Assistant, your daily responsibilities will include:

  • Autonomously perform general and administrative tasks with a moderate level of guidance and within guidelines and policies.
  • Efficiently manage calendars by tracking meeting commitments, prioritizing meetings and monitoring changes with overall responsibility on Executive Leaders' time allocation
  • Arrange and coordinate all aspects of domestic and international travel; air, hotels, ground transportation, visa/passport maintenance and related expense reporting and claims
  • Support Leaders in various tools, e.g. for direct reports' travel requests and expense claims, recruitment requests, vacation tools, other people management related tools, purchasing tools, etc.
  • Provide support for logistics arrangement of internal and external meetings, e.g. Leadership Team meetings, Customer meetings, etc.
Support team with procurement needs Manage events for team and customer engagement

To succeed in the role, you will need to have:

  • Experience in assistant area
  • Fluent English written and spoken
  • Strong MS office skills (Word, Excel, Power point) and solid experience with various tools like Concur, Coupa, etc.
  • Experience in travel arrangements domestic and international air, hotels, ground transportation, visa and passport requests
  • Ability to work with multiple time zones
  • Initiative and selfmotivated
  • Adaptation to challenges and change
  • Good communication skills and attention to detail
  • Strong interpersonal skills and comfortable to work under pressure
  • Ability to handle sensitive and confidential information
  • Team player with strong organization and prioritization abilities
  • Ability to proactively identify needs without being asked
