ABOUT THE ROLE


We are looking for a Financial & Administrative Assistant to strengthen our team in Portugal and to work in our office in Coimbra.


As a Financial and Administrative Assistant, you will be responsible for developing and maintaining financial and administrative procedures that support the performance of our company in Portugal.

With an eye for detail and excellent organization skills, you will be the go-to person for administrative and finance matters, working closely with the People & Culture team and the Management team across the group.


YOUR RESPONSIBILITIES

Finance

  • Collect all accounting documents (invoices, expense reports, bank notices)
  • Process financial documents (invoices/expenses/bank excerpts/bank statements)
  • Provide support to the management team regarding financial reporting for the groupPrepare and be responsible for all payments (income and outcome), maintaining cost reports and invoicing
  • Manage the relationship with our accounting partner and be responsible for the weekly/monthly contacts with this partner.
  • Prepare payroll information for our accounting partner
  • Work closely with the other Finance departments from Sweden, Denmark, and Serbia
  • Supporting the development and implementation of best financial/administrative practices
  • Ensuring that the company complies with the established financial policies and procedures

Administrative

  • Give full administrative and secretarial support to the organization
  • Support the organization with purchases and orders for the different offices in Portugal
  • Support the company in managing funding projects, such as Portugal2030
  • Manage travel arrangements (book flights, trains, hotels, cars, taxis) ensuring consistent adnce to the appropriate policies

JOB REQUIREMENTS

  • Professional training or higher education in Management, Accounting, Economics or similar
  • Have at least 5 years of experience working in the financial and administrative field.
  • Experience in communicating and supporting Clevel executives
  • High proficiency in Excel and ability to handle large amounts of data
  • Critical and Analytical mindset
  • Ability to learn quickly and work autonomously
  • Attention to detail, with an ability to spot numerical errors
  • Comfortable with concepts related to accounting, financial reporting, and payroll
  • Experience managing funding projects would be a plus
  • Good English level, written and spoken
