Position: Project Administrator – Infrastructure Team (Porto or Lisbon location)

Responsibilities

  • Establishes and maintains record-keeping and filing systems for the project, including BMS documentation.
  • Receives, files, downloads, and uploads information and correspondence for the projects, ensuring confidentiality and security.
  • Supports project administration by collecting meeting notes, updating databases, and preparing presentations.
  • Types, formats, and produces documents such as proposals and standard project reports.
  • Coordinates internal meetings, incoming visitors, and ensures effective work processes.
  • Liaises with the wider business and client administrators, researching and resolving problems efficiently.
  • Manages calendars, contact database, appointments, and travel arrangements for the project.
  • Supports submissions and maintains project archives and documents.
  • Manages activities within the assigned field of responsibility and resolves day-to-day problems.
  • Performs other duties as assigned.

Qualifications

Successful candidates will have excellent written and verbal communication skills in English and Portuguese, with strong organizational and analytical abilities. Must possess the skill to format correspondence effectively and present information clearly. Additional qualifications include:

  • Ability to calculate simple figures and understand invoicing and cash collection processes.
  • Intermediate skills in Microsoft Office Suite and advanced skills in Microsoft Word and Excel are desirable.
  • Technical knowledge of Document Control Systems, such as ACONEX, is advantageous.
