An exciting opportunity has arisen in Lisbon for an Administrative Assistant.

What would you do as Administrative Assistant at Lisbon?

  • To provide an administrative support, helping them in the daily operational activities of the offices across Portugal in addition to special projects.
  • Responsible for ordering, receiving, stocking and distribution of office supplies (i.e. caterers, office supplies, coffee/water suppliers, cleaning/maintenance etc.)
  • Receives, sorts and delivers mail and incoming deliveries (FedEx, UPS)
  • Creates and sends correspondence and maintain Excel spreadsheets e.g. to track office mail, keys etc)
  • Scanning of necessary reports e.g. damage reports, manuals etc.
  • Monitor stock levels, order office materials, equipment and services and check incoming orders .
  • Organisation and distribution of documents (insurance documents, billing, fines,etc.)
  • Responsble for the etoll management
  • Provides administrative support to fines management
  • Other projects as needed.
What are we looking for?

  • High School or Vocational Training in Business Administration or similar academic qualitification. Bachelor's degree strongly preferred
  • 2+ years administrative experience
  • Good knowledge of local language is mandatory. Ability to communicate in other languages (Spanish, Portuguese, English etc.) is a plus.
  • Good knowledge of Office, especially Excel
  • Driving License is valuable
  • A person who is organized, multitasking, able to adapt quickly in a fast paced environment, strong attention to detail, able to work independently with minimal supervision, excellent communication and interpersonal skills and strong analytical skills.
