Job Title: Project Management Support Specialist (Portugal Only)
Location: 100% Remote
Client: NATO Communications and Information Agency (NCI Agency)
Project: IT Services Modernization via Public Cloud Integration (Microsoft Azure, M365, Amazon AWS)
Description: The NCI Agency is seeking a Project Management Support Specialist to assist with the modernization of IT services across NATO's geographical locations. This role plays a key part in supporting NATO's journey to leverage public cloud services for delivering secure, reliable, and managed IT solutions.
Key Responsibilities: Resource Planning and Scheduling:Assist Senior Project Managers in planning and allocation of project resources.Maintain and update project schedules using tools such as ServiceNow.Coordinate with resource managers to ensure timely availability of required personnel and resources.Monitor project milestones and ensure timely task completion.Data and Knowledge Management:Maintain organized, up-to-date repositories for all project documents and reports.Assist in the creation and management of knowledge materials to support project deliverables.Ensure compliance with organizational data governance standards.Issue and Risk Tracking:Support Senior Project Managers in maintaining issue and risk registers.Ensure accuracy and completeness of project records in line with organizational standards.Meeting Organization and Documentation:Organize and facilitate project meetings (virtual or in-person), prepare agendas, and manage invitations.Take accurate meeting notes, capturing key points, decisions, and action items.Distribute meeting minutes and follow up on action items promptly.Procurement Support:Assist with initiating and following up on procurement requests.Create receipts and maintain procurement documentation.Track procurement communications and ensure proper record-keeping.Collaboration and Communication:Collaborate with Cloud Operations Centre, Project Managers, Technical Leads, and other stakeholders.Communicate effectively to understand project requirements and address concerns.Coordinate closely with the NCI Agency Project Manager, ensuring adherence to project timelines.Requirements: Project Management Knowledge:Basic understanding of project management principles and tools.Familiarity with ServiceNow, Microsoft Project, or similar software.Understanding of project life cycles from initiation to completion.Organizational Skills:High attention to detail and ability to manage multiple tasks.Proven skills in maintaining project schedules and documentation.Ability to prioritize in a fast-paced environment.Communication Skills:Excellent verbal and written communication skills.Proficiency in preparing and distributing agendas and minutes.Strong interpersonal skills for stakeholder coordination.Team Collaboration:Demonstrated ability to work effectively within a team.Commitment to cohesive project management practices.
