
Document Project Controller

**Job Description**:
Document Controller (DOC) is responsible for the timely, accurate and efficient management of documents. Control the numbering, template, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by projects, technical discipline or corporate departments.
Duties and Responsibilities:
- Prepare and implement the document management and numbering procedures as required within the Contract requirements and corporate guidelines.
- Prepare and implement the Correspondence Procedure and support the Project Manager (PMN) for the preparation of the Project Coordination Procedure.
- As part of the Document Management Procedure and Project Coordination Procedure, provide support for the preparation of all document templates (for Project Documentation, Correspondence, Minute of Meeting etc ).
- Set-up and maintain the Electronic Document Management System in accordance with the Contract requirements, corporate guidelines, Document Management Procedure and Progress Measurement Procedure for Engineering.
- Set-up and maintain a correspondence log, reviewing the accuracy of the records.
- Manage and register all incoming and outgoing project correspondence, (i.e., Official Letters, Minute of Meeting, Technical Queries etc.).
- Distribute project correspondence to all concerned parties in accordance with the established procedure/matrix.
- Set-up and maintain the Master Document Register, reviewing the accuracy of the records.
- Manage and register all incoming and outgoing transmittal. Distribute the Project documentation to all concerned parties in accordance with the established procedure/matrix.
- File documents in physical and digital records and ensure appropriate storage.
- Liaise with and distribute documentation with all levels of the project team and potentially external parties. Manage the processes around documentation within the organization and external parties (Client, Vendors, Subcontractors or any other Third Party).
- Support the Planner (PLL) or Project Control Engineer (PCE) in monitoring the Progress of the Engineering, assuring the updating of the Electronic Document Management System and Master Document Register in accordance with the Progress Measurement Procedure.
- Prepare ad-hoc reports on projects when required.
- Support the Quality Manager (QCM) in the management of the final project documentation (i.e., Vendor Manufacturing Data Book and As-Built Documentation).
Work Experience Requirements:
- Knowledge of both theoretical and practical aspects of document management processes and tools (i.e., project planning and control, risk management, contract management, etc.).
Soft Skills and Competencies:
- Good communication (verbal and written) and interpersonal skills.
- Precision and accuracy, detail oriented and methodical.
- Planning and organizing ability.
- Adaptability and stress tolerance.
- Collaboration and teamwork.
- Computer literate with experience in using Microsoft Outlook, Excel and Word Applications, Electronic Document Management System.
- Professional English.
Education Requirements:
- Diploma, Bachelor's or Master's degree.
Work Conditions:
- Home Office or on Site (if required).
Other Specific Requirements:
- Knowledge and mastery of Excel and Electronic Document Management System (EDMS).
- Familiarity with Company Tools, Procedures and Process (Electronic Document Management System, Project Control and Quality Standards, etc.).
