We are currently seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As an Administrative Assistant, you will provide essential support to our organization, helping to ensure smooth day-to-day operations and efficient workflow. You will be responsible for a wide range of administrative tasks and play a crucial role in maintaining effective communication within the company and with external stakeholders.
**Responsibilities**:
1. _General Administrative Support:_ Perform various administrative tasks such as managing calendars, scheduling meetings, answering phone calls, and handling correspondence. Maintain electronic and physical filing systems, ensuring documents are accurately organized and easily accessible.
2. _Data Management:_ Assist in data entry and management tasks, including updating databases, spreadsheets, and other records. Help maintain accurate and up-to-date information, generating reports as required.
3. _Communication and Coordination: _Act as a liaison between departments, team members, clients, and external parties. Coordinate internal and external meetings, conferences, and events, ensuring all logistics are taken care of. Prepare and distribute meeting agendas, minutes, and other relevant materials.
4. _Office Operations:_ Support office operations by ordering and maintaining supplies and sending, receiving and stock control of tokens. Assist with travel arrangements, accommodation bookings, and expense tracking for staff members.
5. _Documentation and Reporting:_ Assist in the preparation, formatting, and proofreading of various documents, including reports, presentations, and proposals. Compile and analyse data to support decision-making processes and assist with the creation of comprehensive reports.
**Requirements**:
- High school diploma or equivalent; additional education or certifications in office administration or related field is a plus.
- Proven experience as an administrative assistant, secretary, or similar role is preferred.
- Proficient in using productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (e.g., printers, scanners).
- Excellent communication skills, both written and verbal, with a strong attention to detail.
- Outstanding organizational and time management abilities, with the capability to multitask and prioritize effectively.
- Demonstrated problem-solving skills and the ability to work independently or as part of a team.
- Strong interpersonal skills and a friendly, professional behaviour.
- Discretion and confidentiality when handling sensitive information.

For the first 3 months we offer a compensation of one minimum salary per month (760,00 EUR). After this period, the salary can be reviewed according to the person's progress in the position.
Working hours: 09:00 - 18:00 from Monday to Friday.
100% on-site in Amadora / Lisbon.
