Invoice and Payments Analyst - Regional Delivery Centre (RDC)

Role Description

The Invoice and Payments Analyst, RDC is responsible for payment processing activities in the RDC in line with Kantar Business Services (KBS) Service Level Agreements (SLAs) supporting the Invoice to Pay Manager (I2P) in the monitoring and control of Accounts Payable and Employee Travel and Expense claim services provided by Kantar’s delivery partner organisation(s).

The role reports to the I2P Manager (RDC) and will be focussed on the timely and controlled execution of supplier payments, fraud prevention, detection and controls as well as resolution of any payment related issues. The role will be based in Porto and will work in partnership with other RDC teams such as the Procurement Helpdesk, Master Data Management (MDM) as well as other teams within Kantar such as Group Procurement, Group Treasury, and internal and third-party supplier organisations.

The job holder will also support the I2P Manager through the successful transition of payment related activities into KBS working alongside Ada Programme teams throughout the duration of the transition and embedding the activities into business as usual as well as identifying and implementing process improvement opportunities.

The Invoice and Payments Analyst will be required to complete the following responsibilities:
Process:

- Accountable for ensuring compliance with payment runs according to market specific payment calendars and for updating payment schedules as required for markets served by KBS
- Reviewing and approving payment selections produced by outsourced Accounts Payable teams
- Responsible for payment related transaction processing and approvals within banking platforms where required
- Preparation and execution of manual payment runs (instructions for payment provided by Group Treasury, customer refunds etc.) as well as executing urgent payment requests
- Liaising with Business Process Outsourcing (BPO) partner and the Master Data Management (MDM) team to manage one-time, urgent payment requests, controls around one-time suppliers and bank master data changes
- Working with the RDC and BPO MDM team to approve new payment requests, validate and perform controls around changes to payment related master data for existing suppliers or employee (T&E) payment master data
- Escalating issues with card payments and direct debits and following up on any issues with card providers to the I2P Manager
- Resolving issues that impact on time payment of third-party suppliers, whether business or supplier driven
- Supporting the I2P Manager in monitoring compliance of AP and Payments related controls and audit requirements relating to AP and payments
- Investigates and resolve problems associated with processing of invoices, and supplier accounts
- Responsible for the adherence to payment related policies and controls under the compliance framework and Risk and Controls Matrix (RACM) for all countries in scope for the RDC
- Timely reporting of fraudulent activity and non-compliance working alongside Kantar controls teams
- Support the I2P Manager in the monitoring and control of in-market AP and payment activities (e.g., issuing and distribution of check payments)
- Drive improvements in outsourced Accounts Payable operations for the KBS through optimisation of user compliance, process performance, new technology and customer satisfaction
- Support effective resolution of payment related or accounts payable disputes with suppliers or employees (for T&E claims) where required escalating to the I2P Manager or S2P Sourcing Lead where required
- Develop sound professional working relationships with colleagues across the organisation, building their confidence and acquiring an understanding of the business

Role Requirements
- Degree level education or equivalent in Accountancy, Business or relevant field
- International payments/AP experience along with experience of working with card networks
- Experience working within a Global Business Services (GBS) or shared services environment preferred
- Intermediate/Sophisticated proficiency with a strong emphasis
