**Position Purpose**:
This position is responsible for the efficient handling of all payroll and some HR administrative functions in Portugal, according to local legislation (Law, CBA, Social Security and Government regulations) Responsibilities include payroll preparation and submissions, completing documentation required for local authorities end of the month tasks and maintaining confidential personnel files. This role coordinates starter and leaver information, acquires approvals, processes required notifications and updates data in various HR systems. This role also has responsibilities for supporting a number of HR processes and services as well as ensuring the implementation of new HR processes, systems and audits. A clear understanding of both HR and commercial operational integration is critical.
Daily interactions with Management and Team Members at all levels within the Corporate Branches in Portugal, and the HR team, as well as external businesses and authorities. The ability to work across different countries as well as a professional, customer focused approach both internally and externally are a key requirement for this role. Confidentiality needs to be ensured in all matters.

**Key Job Activities**:
Ensure the accurate and efficient process and management of the company’s payroll.
Collate all payroll information - required documentation and employee data in a timely manner. This includes overtime, commissions, sickness reports, starter, leaver notification, references, statistical information etc.
Issue payroll reports for management confirmation / approval
Work with finance for payments
Process taxes and social security reports for timely submission and payment.
Coordinate with the local payroll provider.
Ensure new hire & termination processing.
Ensure payroll deductions (court and union deductions) and prepare payments reports for Finance
Ensure completion of the end of the month tasks related to Finance, Social Security and other government authorities.
Maintains a wide variety of records for the purpose of providing information and/or documentation.

Ensure attendance data base for records available for TMs (holidays, overtime, mandatory allowances submission)
Holiday upload in HR system and reporting

Regularly audits the data components to ensure data integrity. Investigates questionable data. Works with Internal Audit and Corporate Finance.

Provide support in the administration of benefits where applicable, e.g. company cars, medical etc.
Update information on SuccessFactors or in an HR System in line with existing guidelines. Submits changes to HRDC (LOA).

Produce reports to upper management upon request.
Issue payroll related statistical reports
Prepare relevant data for Labour entities and ensure employment legislation/regulations are being accomplished and advise on compliance.

Ensure visa sponsorship is maintained and lead process to obtain or renew immigration visa as required
Support and contribute to HR and business reporting requirements

Works directly with management to ensure the compliance of the procedures and implement / communicates new on a regular basis.
Answer employee queries about payroll and other HR issues.

Support annual pay review and bonus processes and other compensation / benefits related.

Improve payroll procedures and implement changes.
Keeps payroll guide / manual updated and other relevant written materials related to the activities.
Ensure data accuracy and payroll procedures.
Participate in audits
Brings recurring issues to Manager’s attention and assists in resolving problems and keeps him/her informed of all pending unresolved issues.

Support management with the implementation of the Performance Management Program, ensuring that goals and objectives are cascaded, check-point and year-end review meetings occur and individual development plans are documented and implemented

Assist in implementing global and EMEA HR projects and initiatives

Performs other related duties as required or requested
