Event Project Manager

The Event Project Manager is a fundamental part of VOQIN' team, responsible for designing, pitching, planning and delivering unique projects with equal parts of detail and finesse.

You will work independently as well as collaborate with the team in a dynamic and vibrant environment, to develop projects from concept stage to event date, including working on detailed budgets and operational documents.

You'll be creating meaningful experiences and maximizing emotions through physical, hybrid and digital events alike.

Maintain and manage client and supplier relationships, improving the overall confirmation ratio and boosting the turnover and gross margin of each allocated project whilst being a VOQIN' ambassador.

Primary Responsibilities

1. Responsible for all allocated projects, virtual-hybrid and in person events, from conception to completion, logistics, project management, design coordination, event budget monitoring and accounting.
2. Responsible for the creative process and final proposal presentation, ensuring a high-quality project.
3. Negotiate and sell the projects to our clients via the quality of your thinking, storytelling & presentation skills, relationship-building abilities and passion for their brands/events and our business.
4. Lead autonomously the delivery of the events, applying effective project management to allocated projects/events, including frame and design, planning, and closing.
5. Effective management and monitoring of the project team's activities for the allocated projects/events and ensure quality of delivery aligned to clients' expectations.
6. Supervise the dedicated project event team.
7. Ensure timely and effective planning of events within agreed budgets.
8. Manage multiple projects simultaneously and be able to prioritize between various tasks depending on deadlines. Promote timely decision-making and effective communication between all the event/project's contributors at all levels.
9. Manage the development and production of creative assets, collateral, and audio/visual elements.
10. Cooperate with the rest of the creative team across different types of projects (meetings, incentives, brand activation campaigns, stage design, copywriting, branding, etc.).
11. Present the project to the clients either by email, phone, video-call and/ or in person.
12. Organize and facilitate Site Inspection visits, and accompany the client when required.
13. Manage the profit & losses of each assigned project to deliver revenue as per pre-agreed standards and guidelines.
14. Negotiate with suppliers on rates, availability, content, and timelines.
15. Manage the timelines to include negotiation with clients whenever necessary.
16. Negotiate payment terms and contracts with the clients.

Skills required

1. Minimum 5 years of event management.
2. Bachelor in Events, Tourism, Marketing or Communication.
3. High level creative thinking and the confidence and know-how to use it when challenging and interpreting the client brief.
4. Knowledgeable about event technology.
5. Articulate, literate and inspiring when presenting ideas and feedback.
6. Strong communications skills including copywriting.
7. Strong product-knowledge and the ability to identify new suppliers.
8. The ability to generate a reliable supply of original ideas and concepts.
9. The confidence and know-how to explain and support your thinking, both internally and externally.
10. A flexible approach and willingness to adapt your ideas to the needs of clients.
11. A passion for events and communication.
12. The resilience to perform under pressure and deliver high-quality work to tight deadlines.
