Job Description
The Executive Assistant & Office Manager will play a pivotal role in supporting our leadership team and maintaining the smooth operation of our Lisbon office. This dynamic individual will be responsible for calendar management, travel arrangements, and communication coordination for senior team members. Additionally, they will oversee office maintenance, manage supplies, and ensure a seamless work environment. The ideal candidate will possess exceptional organizational skills, a proactive approach, and discretion in handling sensitive information.

Key Responsibilities:
  • Coordinate comprehensive office services, including reception, shipping, mail, kitchen upkeep, and office provisions.
  • Manage office maintenance and liaise with property management, safety/security, janitorial staff, internet and audio/visual services, and vendors to maintain a well-stocked, clean, and functional workspace.
  • Serve as the primary point of contact for maintenance, mail, shipping, supplies, equipment, bills, and errands.
  • Greet clients and visitors, addressing inquiries promptly or directing them accordingly.
  • Assist in organizing and executing onsite events.
  • Handle phone calls, both internal and external.
  • Manage calendars for leadership team members, scheduling meetings, appointments, and conference calls to align with priorities and objectives.
  • Anticipate scheduling conflicts and make necessary adjustments to optimize leadership team members' time and availability.
  • Arrange travel accommodations and itineraries for leadership team members, considering preferences and efficiency.
  • Request meeting agendas, briefing materials, and documentation from stakeholders to ensure leadership team members are prepared for interactions.
  • Serve as a liaison between leadership team members and internal/external stakeholders, managing communication and correspondence efficiently and professionally.
  • Assist with expense reporting, reimbursement requests, and financial support tasks, ensuring accuracy and compliance with company policies.
  • Maintain confidentiality at all times.
