**We are looking for Office manager/Finance assistant specialist for our Lisbon office.**
**All you need is**:
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant;
- Proficiency in MS Office, and Excel practical skills (Formulas, Pivot Tables, Reference Functions);
- Upper-Intermediate level of English;
- Excellent time management skills, ability to multi-task and prioritize work;
- Attention to detail and problem-solving skills;
- Team-work skills with well-developed communication skills, both verbal and written;
- Strong organizational and planning skills in a fast-paced environment;
- A creative mind with an ability to suggest improvements, ability to be resourceful and proactive when issues arise.
**Also, it will be great if you have**:
- Previous work experience in an IT company;
- Financial background.
**Your daily adventures will look like**:
- Assist in setting up a new office (ordering furniture, stationery, household appliances and electronics, managing deliveries);
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly;
- Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested;
- Ensure that health and safety policies are up to date;
- Assist the HR department by keeping personnel records up to date;
- Assist Finance department by reconciling payment processing transactions across multiple bank accounts and payment system providers using Excel;
- Monitoring of balances in payments systems;
- Keeping records of office expenses;
- Plan in-house or off-site activities, like parties, celebrations and conferences;
- Book transport and accommodation;
- Perform ad-hoc administrative duties.
