We are looking for an Office Manager in our shiny new office in Lisbon, who will make sure that every employee coming to the office is met with a warm welcome and can enjoy their day in an amazing ambience.
**The role**:
From September 1st we are moving into a new office. We therefore need our first Office Manager in Lisbon to set up the office processes from start to finish, makes sure that we settle in well and that the office always runs smoothly.
As our Office Manager your main responsibilities is to ensure that the office operates smoothly and efficiently. Office manager duties and responsibilities include overseeing administrative matters, receiving and directing visitors as well as handling basic office tasks.
Lisbon is one of +15 offices Better Collective has in Europe and the US. You will mainly be working with the teams and colleagues based in Lisbon but frequently there will be visitors from other offices and projects where you will be working together with global HR and office colleagues. We therefore expect that you can communicate clearly in English.
**Major tasks/responsibilities**:
- Taking care of the offices: co-operating with designers, office suppliers, and services.
- Monitoring and maintaining office supplies inventory
- Organisational support of meetings, conferences, meet-ups and other events
- Cooperation with finance department, providing invoices, receipts, costs settlements
- Maintaining high standards in the offices, cooperating with the building owner and the technical team
- Supporting other departments such as HR or Finance
- Providing administrative support to visiting employees from other locations
- Supporting business travel arrangements for employees - flights, hotels and taxis
**Education & experience**:
- Previous work experience as a Receptionist/Office Manager or similar (as you will be setting up a lot of the process from start to finish, we expect that you are experienced and able to get started from day one)
- Fluent in English both written and verbal
- A plus if you have working knowledge working with Google Suite tools (Gmail, Google Docs, Google Calendar etc.)
