The position
HBK FiberSensing is looking for an Assistant to work at the company facilities in Maia. The Assistant will support the administrative activities required by the Executive Team, including general office duties, travel management, and HR administrative tasks. This role would suit someone who has some previous experience in an administration role and is looking for their next step.
**Responsibilities**:
- First point of contact for all visitors to site, ensuring awareness of H&S rules and arranging refreshments as needed
- Works with the Executive Team to organize meetings and take care of any associated arrangements
- Manages all travel arrangements and reconciles travel and expense reports
- Undertakes basic bookkeeping work
- Organizes and stores documents and files, maintaining records in the management systems
- Coordinates office services, such as housekeeping, stationery and office supplies
- Provides administrative support to the HR Manager as required
- Prepares information for external payroll provider
- Manages all incoming and outcoming calls
- Completes a variety of other assigned day-to-day tasks as required
**Qualifications**:
- Bachelor’s degree in Management or Business Administration, Professional Course of Secretariat Technician, or an equivalent professional background combined with a High School degree.
- Proven experience from a similar position
- Proven experience of preparing information for submission to an external payroll provider
- Good Portuguese and English (both orally and written)
