**The role**
Working in a fast-paced environment, you will provide dedicated and efficient PA support to two European executives. You enjoy having multiple tasks on your plate and you focus on delivering high quality results. You are mature enough to handle sensitive or confidential information. You are autonomous and you work with little guidance.
**Key responsibilities**
- Provide high quality PA support to 2 executives on a day-to-day basis
- Managing complex diary (Outlook), including ever-changing schedules and coordinating internal and external meetings, lunches and dinners, controlling access to the executive
- Acting as a first point of contact, dealing with correspondence
- Compiling and preparing reports, presentations and correspondence
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Managing company-wide communication on behalf of the executive
- Managing complex, and often last-minute, international travel and accommodation arrangements
- Meeting and greeting internal and external visitors at all levels of seniority
- Assisting in the coordination team events/seminars/forums and liaising with external vendors
- Assisting with meeting logistics, such as ordering and delivering catering and negotiating room usage with colleagues
- Handling confidential information
- Preparing and submitting personal expenses for executives
- Help embed the usage of MS OneNote, SharePoint, Teams and other digital collaboration tools in day-to-day executive and team’s lives
- Proactively assist with management of deadlines
- Actively be part of the management assistants forum and provide back-up cover for other assistants holidays and absences when needed
person specification:
**Person Specification**:
- Excellent level of English language (written and spoken). French, Spanish or other languages are a plus.
- At least 3 years of experience as assistant to top management
- Advanced working knowledge of Microsoft Word, Excel, Outlook and PowerPoint ; SharePoint, OneNote and Teams
- Efficient, proactive, with a ‘can-do’ attitude
- Excellent attention to detail, organisation and co-ordination skills
- Works well and delivers under pressure
- Demonstrable experience of working on confidential matters and the ability to be tactful and discreet
- Flexibility and adaptability in a fast changing environment
- Customer focussed and builds strong working relationships internally and externally
- Well-presented and professional, with a confident and friendly manner
- Ability to supervise own workload and be self-motivated; able to plan ahead and make accurate judgement calls on prioritising work tasks
