**WHO?**:
VORTEX-CoLab is looking for an Operations Senior Manager with knowledge of research practices and procedures, laboratory operations, regulatory requirements, planning, and budgeting.
- Master’s degree in Business or Engineering;
- 5+ years’ proven experience in the operations management field;
- 3+ years of relevant contact in R&D&I environments.
- knowledge of European competitive funding programs is mandatory.
- Knowledge of financial principles and budgeting, including profit and loss, balance sheet, and cash-flow management, cost estimating, and monitoring.
- Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
- Strong interpersonal and communication skills and the ability to work effectively and collaborate with other departments and stakeholders.
- Ability to oversee multiple projects and initiatives simultaneously, identifying potential hurdles and moving forward through completion.
- Employee development and performance management skills.
- Ability to supervise and train employees, including organizing, prioritizing, and scheduling work assignments.
- Flexible and able to learn quickly in a dynamic and fast-paced environment.
- Above-average communication (both orally and in writing) and leadership skills.
- Proficiency in English.
**WHAT?**:
As an Operations Senior Manager at VORTEX-CoLab, you will work collaboratively with a cross-functional team of researchers and engineers, planning and scheduling work, determining staff assignments and training needs, human resources management, inventory control, purchasing and maintenance of laboratory equipment, quality control, and administrative services.
How you can expect to fill your days:
- Development of strategic plans, organizational structures, and systems to fulfill the organization’s mission-driven goals. Planning, development, and execution of research operations; arranging and assigning work to best use research project funds.
- Improve operational management systems, processes, and best practices.
- Operational budget planning and management, including forecasting and financial data analysis to improve profitability to identify potential budget issues and preparation of budget documents and reports.
- Preparation of organizational periodic reports (e.g.: monthly, quarterly, annual).
- Planning, coordination, and monitoring of the execution of Funding Programs, monitoring KPIs, and overseeing technical and financial reporting.
- Manage and optimize resource allocation.
- Preparation of budgets for research proposals; recommendation of needed expenditures and revisions to the project budget(s).
- Prepare and review contract research proposals and coordinate operational invoices.
- Talent growth planning and strategy definition. Overseeing recruitment, onboarding, appraisals, promotions, and compensation processes.
- Coordinates and manages facilities; equipment, supplies, and related resources. Manages and improves quality assurance program(s).
- Manages adherence to company policies, procedures, and work standards, implementing adjustments or changes when needed.
- Maintain effective organizational relationships and communication with managers, partners, and all company departments.
