Key Responsibilities
We are seeking an exceptional
Personal Assistant to the CEO
— a proactive, intelligent, and highly organized professional who anticipates needs, drives efficiency, and supports both executive and commercial dimensions of the business.
This is a role for someone who thrives on responsibility, discretion, and challenge — a right hand who ensures the CEO's focus stays where it matters most.
You will:
- Manage the CEO's calendar, travel, and daily priorities (national and international)
- Coordinate meetings, presentations, and executive events
- Bridge communication between the CEO and all departments, ensuring alignment and flow of information
- Support and maintain relationships with clients, partners, and internal teams
- Prepare reports, presentations, correspondence, and briefing materials
- Anticipate needs, identify priorities, and ensure deadlines are met across multiple fronts
- Streamline administrative processes and ensure seamless operational flow
- Represent the CEO and company with professionalism and confidence in selected engagements
Profile & Skills
We are looking for someone who embodies intelligence, professionalism, and initiative — someone who owns their role and makes the CEO's life easier.
Required:
- Minimum 5 years of experience as Personal Assistant, Executive Assistant, or Chief of Staff in a demanding environment
- Degree in Management, Business Administration, or equivalent field
- Exceptional organization, autonomy, and problem-solving skills (the CEO has limited time — independence is key)
- Fluent in English and Portuguese; conversational Spanish preferred
- Excellent communication and teamwork skills, capable of bridging different teams and departments effectively
- High level of discretion, judgment, and professionalism
- Proficiency with Excel, PowerPoint, and digital productivity tools
- Experience with project management and workflow systems (advantage)
- Flexibility in schedule and availability for occasional travel
- Prior experience in consulting, management, or corporate environments preferred

- The CEO's email and calendar are efficiently managed — only essential items reach him
- Client and partner relationships are actively maintained, followed up, and strengthened
- Travel, meetings, and logistics flow seamlessly, without oversight
- Internal communication and administrative processes run smoothly and proactively
- The CEO's focus remains on strategic priorities — all operational details are handled independently
- The PA acts as a trusted gatekeeper and facilitator, ensuring clarity, calm, and control around the CEO's agenda
- The role evolves toward strategic support, including involvement in client relations and coordination across projects
