adidas Porto is one of the company's key locations that supports and runs 4 distinct pillars: GBS, SCM, Tech and Digital. adidas GBS in Porto delivers high-quality services for Travel & Expenses, Wholesale Customer Service, Finance, Accounting, HR Services & Payroll, and Supply Chain for Europe and the Americas.

This role sits within the GBS organisation in the Travel & Expenses team, and its purpose is to provide consultancy, booking support and administration for internal customers in Europe and especially in Germany, arranging meetings & events (M&E), securing compliance, customer satisfaction, process efficiencies and cost savings.

WHAT WILL YOU BE DOING?

Ensure that the EMEA strategy for T&E is being executed and that legal and tax requirements are met Managing meetings & events requests - organising events and negotiating booking proposals with external vendors Propose, and book group accommodation and other meeting and event-related content securing travel policy Work closely with travel agencies regarding group-related transportation bookings Provide payment services, internal recharges and support administration of event management credit card task Ensure all data follows the standardised process using Cvent (global meeting management tool) Collect and analyse customer feedback and provide input for optimising the M&E Program Conduct training on policies and procedures for travellers, travel arrangers, travel authorisers, executives and suppliers

WHAT ARE WE LOOKING FOR?

Fluency in both verbal and written English and German (mandatory) 4-5 years of proven experience in handling travel/event requests (travel agency, executive assistance, etc) Experience in handling multiple requests and parallel projects/activities Negotiation skills that allow for quick and cost-effective solutions while following proper workflows
