Blaze Information Security is a cybersecurity company dedicated to providing cutting-edge services to our clients. We are currently seeking a highly organized and efficient Administrative Assistant to join our team in Portugal.


As the Administrative Assistant, you will play a vital role in ensuring the smooth and efficient functioning of our company.

You will be responsible for managing various administrative tasks, supporting multiple departments, and facilitating seamless communication within the organization.

Tasks

Managing Communications

  • Providing prompt and professional responses to inquiries and routing messages to the appropriate personnel.
Scheduling

  • Organizing meetings and appointments, ensuring all parties are wellinformed and prepared.
Data Entry and Filing

  • Accurately inputting data into databases or spreadsheets.
  • Maintaining records and organizing physical and digital files for easy retrieval.
Handling Travel Arrangements

  • Booking flights, hotels, and transportation for business trips.
  • Ensuring smooth travel logistics and adherence to company travel policies.
Office Management Assistance

  • Assisting in maintaining a wellorganized office environment.
  • Monitoring inventory, ordering supplies, and ensuring the office is presentable and conducive to productivity.
Assisting with Reports

  • Preparing and formatting documents and reports as required.
Research

  • Conducting internet research and providing summarized reports on various topics.
Handling Expenses

  • Keeping track of expenses, processing reimbursement requests, and preparing expense reports.
Event Planning

  • Assisting in the organization of company events, parties, or conferences.
Coordinating with Other Departments

  • Collaborating with various departments to facilitate seamless communication and workflow.
Handling Confidential Information

  • Maintaining confidentiality and discretion when dealing with sensitive company information.
Supporting HR Activities

  • Assisting with recruitment processes and onboarding new employees.
  • Providing support with HRrelated paperwork as needed.
Basic Bookkeeping

  • Recording financial transactions and tracking expenses.
  • Assisting with basic accounting tasks.
Support on Administrative Tickets

  • Handling administrative tickets promptly and efficiently, including equipment purchases, trip bookings, scheduling training, reimbursement of expenses, and payment requests.

Requirements:

  • Mandatory written and spoken communication in English.
  • Good conflicthandling skills.
  • Previous experience as an Administrative Assistant or in a similar role is preferred.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint).
  • Strong organizational and timemanagement skills.
  • Excellent verbal and written communication abilities.
  • Discretion and confidentiality when dealing with sensitive information.
  • Ability to multitask and work efficiently in a fastpaced environment.
