Our
Equipment, Trading & Distribution (ETD) Business Line is looking for an
Administrative Assistant, who will have the following responsibilities:

Customer invoicing:

  • Issue customer invoices by transforming the quotes issued by the B2C Photovoltaic Business Managers into invoices;
  • Reconcile customer invoices with their receipts in conjunction with the accountant;
  • Update the CRM with invoicing and collection information;

Subcontractor invoicing:

  • Check the conformity of subcontractors' invoices with the contractual clauses;
  • Enter subcontractors' invoices into the ERP system for payment;
  • Work with the accountant on all supplier invoicing;

Service support:

  • Support the proper followup of business by adjusting internal processes and developing appropriate tools;
  • Support the activity of the Sales Assistants in their tasks related to the followup of the postsales customer path;
  • Carrying out activity reporting to his/her hierarchy;
  • Followup on the recruitment of subcontractors;
  • Administrative followup of subcontractor contracts (preparation of files with regulatory documents, insurance, etc.);
  • Entering subcontractors' invoices into EBP and monitoring payments;
  • Checking invoices with the planning department and reporting to his/her hierarchy in case of nonconformities.

REQUIREMENTS

  • At least, 2 years of higher education, preferably in business administration or accounting;
  • Good understanding and approach to figures;
  • Good knowledge of MS software, especially Excel;
  • English proficiency (Portuguese would be a plus);
  • Respect for the HSE policy.
