Claire Joster is looking for a Crew Officer (m/f) to become an integral part of a maritime transport company.

Main responsabilities:

  • Act as the internal focal point for all matters related to Crewing for the appointed Vessels;
  • Ensure compliance with all statutory and legislative matters, with particular attention to the ISM/ISPS codes, MLC (as amended) Class & Flag requirements;
  • Manage all logistics aspects related to seafarers' mobilization. Supervise and manage all logistics related to seafarers' visa applications, obtaining and dispatch as required for all crew members. Supervise and manage all travels logistics aspects for seafarers, including flights (international/domestic), accommodation, meet and great, and transit conditions during seafarer mission (booking, coordination with third parties);
  • Remain informed of each appointed Vessel operations planning;
  • Verify Crew is compliant with Charterer requirement and coordinate formal approval by Charterer;
  • Owner (for the appointed vessels) of the "Fleet Crew Planning" and the rotations schedule;
  • Assist the Crew Manager, Technical and Operations Manager in the recruitment and selection of seafarers;
  • Coordinate induction process as required;
  • Prepare and ensure relevant contracts are in place and executed for each seafarer (FSA, LTSA, LOM, manning agent contracts, others);
  • Obtain and control seafarers' training/qualifications certificates (in accordance with STCW regulations), medical certificates, and other required documents;
  • Supervise and coordinate with Flag authorities to ensure the proper endorsement of all Seafarers;
  • Coordinate the Crew appraisal process onboard and in office: obtain and record appraisals conducted on board, submit to Crewing manager for review and approval, organize appraisal interview when required, submit performance evaluation form to Crewing Manager;
  • Ensure Master evaluation and Masters handover reports are issued and recorded on the company server;
  • Regularly obtain and file documents issued by master such as crew list/POB, records of hour of rest and work, crew appraisal etc;
  • Approve incoming crewing invoices (manning agencies and service suppliers) in compliance with internal procedures and contractual agreements with the suppliers;
  • Record invoices purchase orders numbers in the PO tracking file;
  • Follow internal procedures related to payroll (for appointed vessels);
  • Keep selfaware of contracts and their implications in terms of remuneration (performance and fidelity bonus, meal allowance, etc);
  • Record and handle travel expenses sent by seafarers according to their contractual situation;
  • Send the payroll to seafarers and m anage payroll claims and possible corrections.
  • Bachelor's degree in Maritime Studies, Human Resources, or a related field;
  • Knowledge of international maritime regulations;
  • Strong organizational and communication skills;
  • Attention to detail and ability to handle administrative tasks;
  • Proficiency in relevant software and databases;
