Together, we are driving progress forward in a TRUE. BLUE. TRANSITION.**RESPONSIBILITIES**.- Coordinate the Fleet personnel travel and visa requirements worldwide.
- Act as a focal point for all travel arranged by the Monaco office for fleet personnel.

**MAIN TASKS.**
- TRAVEL:
- Prepare and coordinate travel for new fleet personnel i.e. new recruits and transfers.
- Liaise closely with the Site Teams and Shore Bases regarding the arrival and immigration of new employees.
- Serve as an interface with the Corporate Travel department for the organization of flights and the issue of tickets worldwide.
- Obtain approval for travel and expense claims from the appropriate authority.
- VISAS:
- Prepare and organize visas for fleet personnel as and when required (including new recruits).
- Visa and Logistics for IPS Staff from Supply Chain Dept.
- CREW AND VESSEL REPORTS:
- Follow up on the new-recruit process by liaising with the various FLEET HR (Training, Recruiting, Personnel).
- Ensure receipt and correct filing of up-to-date Rotas for all vessels; identify issues on the Rota for each vessel and discuss with HR Supervisors.
- Administrative part: follow-up on invoices/expenses / providing support to crew with administrative documents and letters
- Ensure fleet personnel documentation (passport - CV - visa - diploma/degree - etc) are up to date.
- Fleet Assessors Team logistics according to their mobilization plan/ close follow-up with L&D Manager and shore bases worldwide

**JOB REQUIREMENTS.**
- EDUCATION:
- French Baccalaureat + 3 years further education or equivalent in other countries;
- Fluent in English;
- Computer literate, including Word, PowerPoint & Excel advanced level;
- EXPERIENCE:
- Minimum 5 years as a Secretary and/or in a travel organization or as Administrative Assistant;
- PERSONAL SKILLS:
- Organized, methodical, conscientious and rigorous;
- Constructive and proactive interaction with all employees and external parties;
- Diplomatic;
- Capable of working under pressure;
- Able to change priorities in daily tasks.
- Analytically minded.
