**About the Role**
The **Event Planner/Coordinator **role will require a dynamic individual who is well organized, good with timekeeping, and proactive in their processes. This individual should excel at handling varying responsibilities, such as ad hoc executive administrative tasks, project management, and event organizational tasks.
**Responsibilities**
- Event Organizing (company-wide). Coordinate with internal staff and vendors to establish the requirements for an event and serve as liaison to senior executives throughout the planning process.
- Locate resources, visit sites, and lead pre-event meetings to help Directors decide on event design.
- Plan and facilitate logistics for company-wide events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials.
- Oversee team experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases.
- Coordinate production and distribution of corporate-branded items.
- Build and maintain a comprehensive database of industry contacts, vendors, and venues.
- Troubleshoot any issues that arise on the event day.
- Managing information flow in a timely and accurate manner.
- Making travel and accommodation arrangements.
- Negotiating deals and offers with vendors and service providers
- Assisting Directors with various project management and other administrative tasks.
**Requirements and skills**
- High-level spoken and written English
- Start date as soon as possible (March/April)
- Proven success in event planning or coordination
- Strong interpersonal and communication skills
- Experience in building and maintaining positive business relationships
- Excellent organizational skills, ability to multitask, time management, and attention to detail
- Advanced administrative skills, negotiating skills
- Highly proficient in MS Excel and Google Sheets
- Project Management Experience/skills
- Good research skills, data analyses, and comparative analyses
- Ability to handle pressure and make good decisions quickly
- Reliable internet connection
