Administrative Assistant

As an Administrative Assistant you will join the team to support the operations of the Hub, ensuring the various administrative tasks are fulfilled. Some of your key responsabilities will be to:

- Create and prepare folders shared sites for each business, service project
- Manage access permissions for users on project sites
- Import projects to internal systems and update project information as needed
- Coordinate with Global Financial Services to obtain codes for technical projects
- Support colleagues with technical issues related to IT, timecards, and laptops
- Inputs and updates information in databases and spreadsheets
- Assist in organizing office parties, events, and meetings
- Prepare onboarding materials and welcome packages for new colleagues
- Support Committee Group with communication materials and presentations
- Manages calendars for Committee Group, including making travel arrangements
- Schedule and facilitate training sessions for Lisbon Hub employees
- Manage office logistics and maintenance, including ordering supplies and coordinating room reservations
- Submit and reconcile expense reports
- Fluency in English
- Excellent communication skills
- both verbal and written
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Ability to meet deadlines and work under pressure
- Previous administrative experience
- Ability to multitask and prioritize tasks effectively
