About the Role

As a Strategic Operations Coordinator for the EMEA region, you will play a crucial role in supporting the EMEA PI VP and the wider PI EMEA Leadership Team. This is an excellent opportunity for those looking for a fast-paced, dynamic role in a busy environment.

Key Responsibilities
  • Support the EMEA PI VP in research and preparation of comprehensive travel itineraries, ensuring optimal time, budget, and efficiency.
  • Manage travel expense reports and arrange internal and external meetings & events within specified budgets, including venue booking, facilities, equipment, catering, invitations, and agendas.
  • Produce documents, reports, Excel spreadsheets, PowerPoint presentations, letters, and other materials as required, often handling confidential and sensitive information.
  • Provide proactive calendar management, identifying potential challenges or conflicts.
Additional Duties
  • Support the EMEA PI Leadership Team in various areas, including:
  • Monthly Divisional meetings: logistics and invoice management, agenda creation, meeting attendance, minutes recording, and action items tracking.
  • Weekly Staff calls: agenda creation, technical support, call attendance, minutes recording, and action items tracking.
  • PI Grant Committee coordination, including IRF and budget management, country and FP&A liaison, YALTO interaction, and managing enquiries and processing.
  • Corporate Communication: Quarterly Webcast: agenda, presentation, technical preparation, surveys, and feedback; Monthly Newsletters: input and collaboration with CorpComm, providing information and ideas to collect for the newsletter.
  • Yalto Super User for PI EMEA, coordinating the creation of the EMEA PI Annual Org Calendar, supporting logistics of Global Senior Management visits to the region, and other LT invoice management.
Requirements
  • A minimum of 4+ years' experience in an executive assistant role reporting directly to senior management.
  • Excellent written and verbal English language skills, with additional languages advantageous.
  • Strong time-management skills, ability to organize and coordinate multiple projects concurrently.
  • Strong attention to detail and solutions-oriented mindset.
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.
  • Familiarity with office systems and company communication applications.
  • Ultimate discretion and confidentiality.
  • PA diploma or certification is advantageous.
Salary Range

We offer a competitive salary range of €50,000 - €70,000 per year, depending on experience, plus attractive benefits package.
