Job Title: Strategic Operations Coordinator

Estimated Salary: $60,000 - $80,000 per annum

About the Role:

The ideal candidate will have proven experience as an Office Manager, Executive Assistant or in a similar role. You will be responsible for providing high-level administrative support to senior executives located abroad, managing their calendars, scheduling meetings and appointments, preparing meeting agendas, taking minutes and following up on action items.

You will also be responsible for drafting, editing and proofreading documents, reports and presentations, handling confidential information with discretion, assisting with the preparation and coordination of corporate events and projects, serving as a liaison between executives and other staff members and conducting research, uploading and compiling data to assist with decision-making.

In addition, you will oversee daily office operations to ensure a smooth workflow, manage office supplies, inventory and equipment maintenance, coordinate with IT to address technical issues and ensure the functionality of office systems, handle correspondence including emails, phone calls and mail, maintain a clean, organized and professional office environment and plan and coordinate office events, meetings and conferences.

You will work closely with the team to ensure compliance with health and safety regulations, manage office budget and expenses including processing invoices and managing petty cash.

Requirements:
  • Bachelor's degree in Business Administration, Management or related field preferred
  • Proven experience as an Office Manager, Executive Assistant or in a similar role
  • Over 5 years of experience in similar roles
  • Exceptional organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software
  • Ability to handle sensitive information with discretion and confidentiality
  • Excellent problem-solving skills and attention to detail
  • Ability to work independently and as part of a team
  • Professional demeanor and a positive attitude
